Privacy Policy
Your trust matters. This policy explains what data we collect, why we collect it, and how we keep it secure.
Last Updated: September 4, 2026
Suncoast MIS LLC ("Suncoast MIS," "we," "us," or "our") is a managed IT services provider headquartered in Sarasota, Florida. This Privacy Policy describes how we collect, use, and protect information you provide through our website at www.suncoastmis.com and related service portals.
By using our website or submitting forms, you consent to the practices described in this policy. If you do not agree, please do not use our website.
1. Information We Collect
1.1 Information You Provide Directly
When you submit a form on our website — including contact forms, Systems Audit requests, landing page forms, or our scheduling tool — we may collect:
- Your name and business or organization name
- Your email address and phone number
- Your physical address or service area (city, county)
- Messages describing your IT environment or business needs
- Lead source tracking information (e.g., which page or campaign referred you)
- Scheduling preferences submitted through our Google Calendar booking tool
1.2 Information Collected Automatically
When you visit our website, we and our third-party providers automatically collect certain technical data:
- IP address and approximate geographic location (city/region level)
- Browser type, operating system, and device information
- Pages visited, referring URLs, and time spent on pages
- Conversion events (e.g., form submissions) attributed to advertising campaigns
2. How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and provide requested Systems Audits or services
- Schedule appointments and manage client relationships
- Send relevant information about our managed IT services
- Measure and improve the effectiveness of our website and marketing campaigns
- Comply with legal obligations and protect against fraudulent activity
We do not sell, rent, or trade your personal information to third parties.
3. Third-Party Services and Data Processing
We use several third-party services to operate our website and process form submissions. Each service has its own privacy policy governing how it handles data:
3.1 Formspark (Form Processing)
We use Formspark to store and forward what visitors type into our forms. Suncoast MIS determines what the form asks and how the resulting inquiry is used; Formspark processes that submission for us. Formspark's current privacy policy is available at formspark.io. Do not place passwords, access codes, medical records, case details, or other sensitive regulated content in a website form.
3.2 Cloudflare Turnstile (Bot Protection)
Our forms are protected by Cloudflare Turnstile, which processes limited browser, device, network, and interaction signals to distinguish legitimate visitors from automated abuse. Cloudflare describes this processing in its Turnstile Privacy Addendum and Cloudflare Privacy Policy.
3.3 Google Ads Measurement
Our pages load the Google tag for Google Ads measurement (advertiser ID AW-18399452281). Configured events can record an eligible website form request or the start of a scheduling journey and attribute that action to advertising. A scheduling-start event is not represented as a completed Google Calendar appointment. Google may use cookies or similar browser storage for measurement and attribution. You can manage advertising settings through Google Ads Settings or use industry opt-out choices at aboutads.info.
3.4 Google Tag and Analytics Status
The presence of gtag.js does not by itself mean that Google Analytics is enabled. No Google Analytics 4 property is currently configured on this site; the current Google tag is configured for Google Ads measurement. If that changes, this policy will be updated before analytics data is intentionally collected. Google's privacy practices are described in the Google Privacy & Terms page.
3.5 Google Calendar (Scheduling)
Our scheduling page embeds Google Calendar's appointment booking interface. When you book an appointment, Google processes your name, email, and selected time slot. This data is governed by Google's Privacy Policy.
4. Cookies and Tracking Technologies
Our website uses cookies and similar tracking technologies for the following purposes:
- Cloudflare Turnstile cookies: Used to verify human interaction with forms and prevent automated abuse.
- Google Ads measurement cookies or storage: Used where available to measure configured actions and attribute them to advertising interactions.
You can control or disable cookies through your browser settings. Disabling cookies may affect the functionality of forms and other interactive features on our website.
5. Data Retention
We retain form submission data only as long as reasonably needed to respond to inquiries, provide requested services, maintain business records, protect against abuse, and meet legal or contractual obligations. Verified access, correction, or deletion requests are evaluated against applicable law, required records, and the systems that hold the information.
6. Data Security
As a managed IT services provider, we take data security seriously. We employ industry-standard security measures including:
- TLS encryption for all form submissions and website traffic
- Cloudflare's web application firewall and DDoS protection
- Bot detection via Cloudflare Turnstile on all public forms
- Restricted internal access to form submission data
However, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security but are committed to protecting your information.
7. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete data
- Deletion: Request deletion of your personal data
- Opt-out: Unsubscribe from marketing communications at any time
- Restriction: Request that we limit processing of your data
To exercise any of these rights, contact us at sales@suncoastmis.com or call 813-421-0880.
8. Children's Privacy
Our website is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last Updated" date at the top of this page reflects the most recent revision. Material changes will be noted on our website. Continued use of our website after changes constitutes acceptance of the updated policy.
